General terms and conditions of saleResonance Paris Saclay

ARTICLE 1 : All reservations are subject to the general terms and conditions of sale of the hotel.

ARTICLE 2 : The Client must confirm his reservation before the option date indicated in the quotation and return a copy of the contract to the establishment.
and the GTC duly dated, initialled on each page and signed by the Customer, bearing the words “Good for agreement” and its stamp.

ARTICLE 3 : The Customer must send in writing (fax, mail or e-mail) to each of the establishments concerned, the “rooming list” (list The hotel must be notified of the names of the Participants to the agreement and of the allocation of rooms), at the latest 10 days before the planned date of arrival.

ARTICLE 4 : The Client must specify in writing (fax, mail or e-mail) addressed to the establishments concerned the exact number of people to be accommodated scheduled for each meal 10 working days before the start date of the convention.
The Client must confirm his choice of catering (menu, buffet, cocktail, …) no later than 10 working days before the date of the convention.

ARTICLE 5 : For any reservation of a room/seminar, the client must send in writing the list of participants’ names, at the most late 7 days before the scheduled arrival date.

ARTICLE 6 : The term “partial cancellation” is understood to mean any cancellation of the number of participants less than 10% of the initial order.
Any cancellation beyond this 10% will be considered as total.

ARTICLE 7 : Prices include the service and the VAT rate in force at the time of publication.

CANCELLATION CONDITIONS

Residential or Semi-Residential Seminar and Study Day

A . Residential and Semi-Residential Seminar

1. In case of Total Cancellation of the Residential Seminar booking, the following cancellation conditions apply:

  • In case of cancellation more than 30 working days before the event: 50% of the total amount of the event will be charged
  • In case of cancellation between 29 days and 15 days before the event: 75% of the total amount of the event will be charged.
  • In case of cancellation less than 14 days before the event: 100% of the total amount of the event will be charged.

2. In the event of partial cancellation of the Residential Seminar booking, the following cancellation conditions apply:

  • In case of partial cancellation more than 10 days before the date of the event: No charge will be invoiced;
  • In case of partial cancellation between 10 days and on the day of the event: 100% of the total amount of the event will be invoiced to you, according to the last rooming-list.

B. Study Day

1. In the event of total cancellation of the Study Day booking, the following cancellation conditions apply :

  • In case of cancellation more than 15 days before the date of the event: 50% of the total amount of the event will be charged;
  • In case of cancellation between 15 and 7 days before the date of the event: 75% of the total amount of the event will be charged;
  • In case of cancellation between 7 and the same day: 100% of the total amount of the event will be charged;

2. In case of partial cancellation of the Study Day reservation, the following cancellation conditions apply:

  • In case of partial cancellation more than 2 days before the date of the event: No charge will be made;
  • In case of partial cancellation between 2 days and the day of the event: 100% of the total amount of the event will be charged.

Any change of room configuration occurring on site during your event and not provided for in the contract will result in an invoice additional 300 € HT per straightened room. The establishment reserves the possibility of not being able to respond favourably to your request by cases of high activity.

Any extras not paid on the spot by the participants will be charged on the global invoice of the event.
In case of individual and on-site payment for accommodation, the company will be responsible for no-shows, non-payment and cancellations late. These rooms will therefore be added to the global invoice and to be paid by the company upon receipt.

COVID-19 In case of national containment, we will allow you to postpone the seminar at no charge and will not charge. However, if an epidemic was starting up again and that there would be no national containment or hotel closures and that it would be up to the customer’s choice not to come then that we have all the sanitary measures to accommodate it, we will be obliged to apply the GTCs mentioned above.
